PURPOSE

The AV Engineer is responsible for the generation of all engineering documentation; proposal drawings, shop drawings, bills of material and scope of work. Completing engineering tasks as required while maintaining schedules and deadlines.  Engineer may require interaction with the client via site visits or phone.

 

RESPONSIBILITIES
  • Create full BOM based on Sales Team opportunity requests
  • Create and deliver demonstrations, presentations, prototypes, POC/POV and map features/benefits of client's products to prospects specific needs
  • Develop engineered solutions that map customer business requirements
  • Generate technical scopes of work (SOW) and detailed design narratives for engineered solutions
  • Analyze blueprints, construction drawings, and technical/functional design specifications to prepare compliant engineered solutions
  • Research emerging technologies in support of A/V solutions
  • Interface with product and distribution partners to obtain systems, device, and equipment pricing during engineering process
  • Maintain quality assurance by following organization standards
  • Willing to participate in advanced industry trainings to obtain certifications
  • Perform internal trainings on various AV technologies

PURPOSE

This person will plan, execute, and finalize AV and digital signage national installation projects according to strict deadlines and within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan. The Project Manager will also define the project’s objectives and oversee quality control throughout its life cycle. This position requires a person with excellent communication skills, organizational skills, construction installation project management and general knowledge of systems integration in the digital signage, audio visual industry.

 

RESPONSIBILITIES
  • Work with internal and external parties to organize the various components needed to initiate, run and conclude projects

  • Document and track conversations with internal and external parties in relation to projects

  • Mitigate risks that would impact the ability to bring a project in at or below budget

  • Ensure a safe working environment for the employees, technicians, and contractors

  • Process and react quickly to last minute changes and requests – often times beyond normal business hours

  • Know the scope of a project

  • Follow-up of day to day shipments to and from field operations/installers

  • Manage field operations installations, making sure all project requirements are completed timely, under budget.

  • Build and execute project plans, schedules, updates and details to the customer and project team

  • Maintain project budget, tracks and manages job costs

  • Process paperwork and reports required for the project including budget progress reports, back charges, project photos, installer invoices etc.

  • Work closely and reviews CAD designs and scope of work with design team for accuracy and consistency

  • Resolve product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; escalating to Technical Support Team if needed; following up to ensure resolution

  • Initiate and follow up on RMA’s (returns) with client and technician

  • Travel to new site locations may be required (often at last minute)

  • Attend and participate in training and course work required for new products and services
QUALIFICATIONS

  • Bachelor’s Degree in business or related field preferred

PURPOSE

The Jr. Project Coordinator supports the organization's Project Coordination team including processing paperwork and system tasks, working with Purchasing and other departments to ensure product availability, shipping and tracking equipment, generating reports related to project activities and revenue data. The Jr. Project Coordinator is expected to consistently provide excellent customer service to Project Coordinators, Project Managers, and accounts as well as represent client needs and goals within the organization to ensure quality.

 

RESPONSIBILITIES
  • Receive direction from Project Coordinators (PCs) and Project Managers (PMs), and Sales (box orders) to enter, process and maintain sales orders, ship equipment, create change orders, process and track RMA’s, etc.  Responsibilities included but not limited to:
    • Order checking (matching customer PO to quote and verification of order details with Sales, Engineering, PMs, PCs & Purchasing), sales order entry, printing drawings & delivering them to the Distribution team with sales order paperwork when appliable, turning in sales orders to the Distribution team when ready for shipment, entering change orders & order revisions, submit drop shipment order requests to Purchasing Dept
    • Updating deals with dates, creating tasks for self & others, updating & completing tasks, putting important notes in deals for instructional purposes or to request confirmation on details to other departments, filing paperwork in Dropbox where applicable, updating deal amounts when the dollar value changes or is incorrect, maintaining the integrity of all deal data and stages as deemed appropriate
    • Updating Smartsheets or spreadsheets with customer specific or internal specific data as required (sales order #s, technician assignment #s, tech PO #s, install dates ship dates, delivery dates, etc.)
    • RMA entry, tracking, processing RMAs when product is returned, updating departments with status on RMAs when applicable, entering call tags & providing them to the PCs or PMs
  • Submit reports & all other required paperwork as directed in an accurate & timely manner. Responsibilities included but not limited to:
    • Run open order reports, run customer PO profit reports, run sales order profit reports, run item inquiry reports, run customer sales/invoicing reports, provide report information to required departments in order to assist in determining change order information, or customer sales or item specific information.
  • Create technician assignments and POs (PMs to verify and finalize)
  • Work with Accounting & Purchasing to process technician & other vendor paperwork. Responsibilities included but not limited to:
    • Investigating cost discrepancies, investigating invoices received without a PO, investigating license renewals legitimacies, cutting POs with other vendors when required (not just technicians), verifying cost additions/credits to jobs before processing internal or external change orders where other vendors are involved
  • Handle external and internal inquiries. Responsibilities included but not limited to:
    • Product availability, requesting Purchasing Dept to add product to the system, provide order status information to departments when needed
  • Track day to day shipments to and from field operations/installers
    • Including providing tracking updates to PCs PMs or other departments when needed
  • Assist the team in any other capacity as deemed necessary

  • Manage internal tracking system for service jobs including Q360 boards, Work Market, Zendesk, and client Web Portals if necessary

  • Manage costs for service calls to be within the approved budget as determined by each customer and per Service Level Agreements (SLA), as applicable
  • Issue Work Market assignments to technicians or create SOW, COC, PO, etc. and send directly to technicians if outside of Work Market
  • Communicate and confirm technician assignments to ensure successful dispatches
  • Work with Engineering, as needed, to make sure proper equipment is being specified / quoted for replacements and / or enhancements
  • Generate quote in Q360 and obtain client approval, if necessary
  • Coordinate the shipment of equipment, if necessary
  • Ensure technicians successfully completed the service job; collect COC, pictures, etc. and confirm technician PO amount
  • Communicate any issues or concerns relating to the client to Sales
  • Upload all necessary documentation into the internal storage system
  • Task the Business Manager to bill and close job out

PURPOSE

The Senior Field Technician supports outsourced field technicians via phone and on site as well as handles local installations. This role will also support rack fabrication as needed. The Senior Field Technician administers the bidding process and contracts for vendor performance/compliance (i.e. prepare specifications, evaluate bids, recommend vendors, etc.) for the purpose of securing services within budget and in compliance specific to service and installation projects.

 

RESPONSIBILITIES
  • Perform job site visits to QC installations as requested by the clients and project managers

  • Provide service labor support to all NOC Specialists

  • Create quotes of necessary labor and/or parts needed based on all troubleshooting documentation and scope of work provided by internal customers (sales, PM, NOC)
  • Prepare proposals, negotiates contracts, and administers service labor in accordance with company policies and requirements
  • Hire and provide subcontracted field resources with all necessary information, documentation, and guidance
  • Constantly evaluate completed projects in order to ensure that the proper Field Services processes and procedures are being completed by both internal employees as well as subcontracted resources in the field.
  • Provide an avenue for conflict resolution between the field resources and internal customers (sales, PM, NOC) when discrepancies occur either in field conditions, billing requirements, or proper documentation
  • Negotiate service request with subcontracted field resources to ensure that they are being utilized in the most efficient and effective ways possible
  • Effectively manage expectations between PTG and subcontracted field services resources during the course of service requests
  • Manage tech sourcing ticket requests with response time of 24 hours
  • Provide routine and regular audits on completed projects in order to ensure that the proper Installation Services processes and procedures are being completed by both internal employees as well as subcontracted resources in the field
  • Effectively manage expectations between Promotion Technology Group and subcontracted field services resources from the onset of the relationship
  • Achieve and maintain a fully staffed service coverage network for all levels of subcontracted field services resources, within a reasonable level of work expectations
  • Ensure subcontracted resources in the field participate in and maintain all required testing and certification protocols set up for them
  • Maintain technician records and ensure that all necessary paperwork is kept up to date by the subcontracted resources
  • Research, qualify, and recruit new subcontracted resources in understaffed areas of field service coverage for AV technicians, programmers, and electrical contractors
  • Coordinate with project managers, project coordinators, and NOC team members to ensure that subcontracted field resources receive all necessary information, documentation, and guidance before, during, and after active projects
  • Update outdated documents and agreements to comply with the most current laws, practices, and policies
  • Maintain a profitable relationship with a limited number of vendors capable of providing coverage support to remote areas where current workloads do not provide incentive enough for traditional subcontracted field service resources to devote the time, energy, and resources necessary to maintain a partnership with PTG

  • Proven working experience in Customer Service in the A/V industry
