PURPOSE

The Project Coordinator supports an organization's sales operations team including managing schedules, creating sales documents and proposals, generating reports related to project activities and revenue data, as well as handling customer service and prioritizing customer requests. The Project Coordinator is expected to consistently provide excellent customer service to accounts, as well as represent client needs and goals within the organization to ensure quality.

 

RESPONSIBILITIES
  • Prepare and process sales orders and process RMA, follow-up on the return of equipment
  • Submit reports and all other required paperwork as directed, accurately and timely
  • Document information as logging emails and phone calls to/from client
  • Process and book travel requests and expense reports for Project Managers
  • Work with accounting to process technician paperwork
  • Handle customer requests in the absence of Project Manager
  • Communicate and update PM’s calendar, travel schedule
  • Assist in the rollout of larger projects and/or act as PM on smaller installation accounts
  • Follow up with customer and provide updates to PM
  • Handle incoming calls/service requests from PTG clients; troubleshoot to determine whether a technician is necessary
  • Ensure that all post service call steps are taken including; confirm all necessary equipment is shipped to the site/technician, verify technician is on site for scheduled date and time, receive approval from the client regarding the service call, document all aspects of the service call, request all necessary paperwork from the technician, tasks accounting to bill client and pay technician, close the ticket
  • Assist the team in any other capacity as deemed necessary

PURPOSE

The AV Engineer is responsible for the generation of all engineering documentation; proposal drawings, shop drawings, bills of material and scope of work. Completing engineering tasks as required while maintaining schedules and deadlines.  Engineer may require interaction with the client via site visits or phone.

 

RESPONSIBILITIES
  • Create full BOM based on Sales Team opportunity requests
  • Create and deliver demonstrations, presentations, prototypes, POC/POV and map features/benefits of client's products to prospects specific needs
  • Develop engineered solutions that map customer business requirements
  • Generate technical scopes of work (SOW) and detailed design narratives for engineered solutions
  • Analyze blueprints, construction drawings, and technical/functional design specifications to prepare compliant engineered solutions
  • Research emerging technologies in support of A/V solutions
  • Interface with product and distribution partners to obtain systems, device, and equipment pricing during engineering process
  • Maintain quality assurance by following organization standards
  • Willing to participate in advanced industry trainings to obtain certifications

PURPOSE

The main purpose of this role is to ensure the timely delivery of shipments and accuracy of orders entered in the system. This person must be proactive rather than reactive and extremely detail oriented.

 RESPONSIBILITIES

  • Data Entry – Enter all box orders for accounts assigned through ERP system in a timely manner and in order of priority
  • Order Management – Activities included but not limited to:
  • Review entered orders for accuracy
  • Request change orders/revised POs when required
  • Revise orders as needed due to delivery date changes, requirement changes or inventory availability
  • Request and track programmed material when required
  • Request any special needs from internal departments on special orders
  • Provide proper backup documentation when order is ready for shipment
  • Manage backlog
  • Inform and assist customers and internal departments of anything required or requested that pertains to their orders. This may include but is not limited to:
  • Confirming customer purchase orders in web portals or via email
  • Utilize customer web portals as needed to confirm POs and obtain or submit order relevant information
  • Provide reports to customers upon request or as part of standard customer requirements
  • Order status changes or inquiries
  • Part and pricing changes or inquiries
  • Shipment delivery questions or issues, etc. 
QUALIFICATIONS
  • Minimum of 2+ years of experience in Order Management or customer/sales support role
  • Prior Sage experience a plus
  • Strong written and oral communication skills
  • Ability to follow detailed instructions
